Executive Assistant

The role 

You will join a collaborative team of Executive Assistants, providing high-level support across multiple Business Units. 

Your responsibilities will include managing complex diaries for senior leaders, capturing, and tracking actions, coordinating client visits and workshops, arranging international travel, and assisting with project-related tasks. 

We value autonomy and proactive working – you will have the freedom to manage your own workload while delivering exceptional support to business leaders and their teams. In addition, you will play a key role in supporting colleagues across the company and providing back-up assistance when needed. 

This is primarily an office-based role, with flexibility to work from home as part of our hybrid approach. 

Responsibilities 

You will be involved in and responsible for the following tasks: 

  • Diary management ensuring seamless scheduling and prioritisation   
  • Coordinate a variety of meetings which may include creating agendas, and tracking actions 
  • Coordinating travel including itineraries, visas, and accommodation ensuring compliance with travel processes and policies 
  • Planning and organising client meetings and workshops, including site tours  
  • Processing and submitting expenses accurately and in a timely manner   
  • Administrative support for projects 
  • Induction of new starters covering processes and practices within the business unit 
  • Liaising with other internal departments 
  • Collaborate closely with your line manager to ensure business rhythm and minimise disruptions, including cover during leave. 
  • Working well with people on all levels is an important part of your job. Manage good relations with other seniors, external partners, and colleagues. 

 

Requirements / what you can bring 

We are looking for candidates who have the following skills or experience: 

  • Significant and relevant experience within a similar role 
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and video conferencing tools (e.g. Microsoft Teams, Zoom) 
  • Experience with CRM software would be advantageous – A good working knowledge of Salesforce would be desirable
  • The ability to juggle multiple tasks, prioritise effectively, and manage competing demands with composure. 
  • Strong attention to detail and accuracy 
  • Effective communication skills 
  • Complete reliability handling confidential information 
  • Proactive team player with a strong desire to muck-in where required
